Tracking and proof

Customers stop calling, and every delivery has a photo behind it

A tracking link at drop off, a public page that updates itself, and a photo with a GPS point at the door. That covers both ends of the phone call you are trying to avoid.

Two things eat a paquetería's phone line. People asking where their box is, and people saying a box never showed up. This page is about both.

The first one starts at intake. When you take the box in, one tap sends the customer a WhatsApp confirmation carrying the tracking number, what was in the box, the total, the balance still owed and a link. From then on they follow it themselves on a public page in their browser or in the separate tracking app. Neither needs an account, both work in English or Spanish, and tracking updates as the trip departs, crosses and arrives.

Repeat customers can keep public package shortcuts on their own device, separate active and completed shipments, and search by code or destination. Opening a shortcut checks the latest status. Sharing offers both the phone share sheet and a copy-link fallback.

Tracking is part of every plan. Tracking codes, QR labels, WhatsApp confirmations, the public tracking page and tracking in the app come with all of them at no extra cost. What Showcase adds is a Shipped with card on each of those tracking screens, carrying your name, your next stop and a button to your page, so the person following a box from you knows where to find you for the next one.

The second one is proof of delivery. At the door the driver takes a photo and the app captures the GPS point where it was taken, both stamped with the time and the driver's name into the package's permanent history. Later, when somebody insists nothing arrived, you print a letter size delivery receipt carrying the photo, the timestamp, the driver and the coordinates. That is the document an insurer or a disputing customer actually wants, and it ends most of those conversations in one message.

You decide how much of that the customer sees. A single switch says whether the delivery photo shows up on the public tracking page. The GPS coordinates never do, on any setting, because that is your evidence and not a public record of where somebody lives.

Also, the driver can start a WhatsApp chat with the recipient from the stop before pulling up, which cuts down on the trips where nobody answers the door. Between the confirmation at drop off, the tracking page in the middle and the photo at the end, the customer is told three times without anybody dialing a number.

How a customer follows their box

  1. 1

They get the code at drop off

The tracking code is printed on the label as a QR and sent over WhatsApp with a link, so they have it before they leave the counter.

  2. 2

The page updates on its own

As the trip departs, crosses and arrives, the public page moves along with it through eighteen tracked stages. Nobody has to send an update.

  3. 3

A message before the driver arrives

From the stop, the driver taps once to open WhatsApp with the recipient and check somebody is home.

  4. 4

    The photo closes it out

A photo and a GPS point are captured at handoff and stamped into the package's history with the time and the driver's name.

What proof of delivery includes

A photo at the door

Taken at the moment of handoff on the driver's phone, kept in the package's permanent history with who took it and when.

A GPS point

Where the photo was taken, recorded with it. It stays inside the company and never appears on a public page.

A printable receipt

A letter size delivery receipt with the photo, the timestamp, the driver and the coordinates, for insurers and for disputes.

Questions about tracking and proof

Do customers need an app or an account to track a package?

No. They open the tracking link in whatever browser is already on their phone and see the status and the history, in English or Spanish, with nothing to install and nothing to sign into. The separate tracking app is optional for customers who want their packages in one place, and it needs no account either. The same code is printed on the label as a QR, so scanning the sticker on the box opens the same page.

Is tracking included in every plan?

Yes. Tracking codes, QR labels, WhatsApp confirmations, the public tracking page and tracking in the Paquetería Ya app come with every plan, and none of it depends on Showcase. Showcase is the add-on that puts a Shipped with card on those tracking screens, with your name, your next stop and a link to your page.

How do customers get their tracking link?

At drop off, in one tap. The app sends a WhatsApp message with the tracking number, the contents, the total, the balance still owed and the link, in Spanish or English. They also walk out with a printed receipt carrying the QR code, so they have it two ways.

What is captured as proof of delivery?

A photo taken at the moment of handoff and the GPS location where it was captured, both timestamped into the package's permanent history along with who delivered it. You can print a letter size delivery receipt carrying the photo, the time, the driver and the coordinates whenever somebody needs the paperwork.

Can the customer see the delivery photo?

That is your call, with one switch for the whole company. Turn it on and the photo appears on the public tracking page, which settles most doubts before anyone calls. The GPS coordinates never appear there on any setting, because they are evidence for you and not information for the street.

How long are delivery photos kept?

Photos stay with the package for as long as they are useful for a claim and then get cleaned up on a schedule, and closed trips are archived with their photos for a number of years that depends on your plan. There is also a free up space screen so you can see what storage is being used and clear out what you no longer need.
